Deploying local invoice pipelines.

A comprehensive tutorial on setting up folder watch pipelines, configuring the local database index, and mapping custom vendor layout templates.

1. Installation & License Activation

FindInvo is packaged as a standard Windows desktop installer. Once you acquire a license key, open the desktop administration console and follow these steps:

  1. Launch the FindInvo Console application.
  2. Enter your activation email and purchase license key in the system dialog.
  3. The software generates a secure offline hardware signature to complete activation.

2. Setting Up Folder Watches

FindInvo automatically monitors designated input directories for new PDFs, images, and scans. Go to Settings > Storage inside the console:

  • Input Folder: Directory where fresh vendor invoices are saved.
  • Archive Folder: Directory where successfully processed files are archived.
  • Review Folder: Destination folder for scans falling below confidence targets.

3. Creating Layout Templates

To achieve near-perfect OCR accuracy, map specific layouts for your most frequent corporate vendors (e.g. Acme Corp, Global Logistics):

  1. Load a sample invoice PDF into the Templates Manager.
  2. Draw extraction boxes (zones) over the fields you want to match: Invoice Number, Total Value, Tax Registration ID, and Date.
  3. Assign template matching conditions (e.g. unique vendor header text).
  4. Save the template. The processing scheduler will automatically use this layout pattern for future matching documents.

4. Exposing the Staff Search Portal

Accounting and audit staff do not need to install the desktop console. FindInvo has a built-in search server:

  • In settings, enable the Viewer Search Server.
  • The portal runs locally on port 4380 of the host machine.
  • Staff can navigate to http://[HOST_IP]:4380 in their browsers to perform queries using full-text database filters (e.g. searching for Tax IDs or exact transaction ranges).
